How to Validate Asset Management Software in a 2-Week Free Trial — From Spreadsheet Import to Your First QR Audit

Every asset management evaluation seems to go the same way. The demo video looks great, but nobody knows what happens when your own spreadsheet goes in. Some teams only find out after signing that "it doesn't fit our data." 🤔

With SELLEASE, you request a free trial with your work email, and once we approve it you get every Business plan feature for 14 days (2 weeks). Two weeks goes by fast, though. This post is a schedule for using those two weeks to validate SELLEASE with your own data, not just to click around.

1. 📝 From request to first login in a day

The request takes three steps: contact details (work email and mobile) → company and contact person → terms. The trial is for businesses only, so portal emails such as Gmail or Naver and disposable addresses are not accepted.

Free trial request. The right panel shows what happens next: Request → Review (within 1 business day) → Approval email → 14-day trial.

We review requests within 1 business day and send an approval email. Sign in with an email verification code and your trial starts right away. Prepare these three things before you apply and you can use all 14 days well. 💡

  • Your current asset spreadsheet: it doesn't need to be complete. One team's or one floor's worth is enough.
  • A pilot area: one place to audit, such as HQ 3rd floor or warehouse building A.
  • Who will evaluate: one person each from IT, general affairs and finance. They look at assets differently, so the decision is better when all three take part.

2. 🗓️ The two-week plan at a glance

  • Days 1–2 · Import your spreadsheet: does your format come in as is?
  • Days 3–4 · Print and attach QR labels: do label size and fields fit your assets?
  • Days 5–7 · Pilot audit in one area: how long does it take from scan to record?
  • Days 8–10 · Run real workflows: does it fit how your team actually works?
  • Days 11–14 · Review the dashboard and decide: do you pass the checklist below?

3. 📂 Days 1–2: Upload the spreadsheet you already use

Go to Tangible Assets › Upload · Download › Excel upload. You don't have to retype anything into a SELLEASE template. Choose Register with AI (beta) and upload your own spreadsheet; AI maps its columns to SELLEASE fields.

Tangible Assets › Excel upload. Select file → Check mapping → Review and register → Preview and apply.
  • Start with 50 to 100 rows from your pilot area rather than the whole register. You'll see quickly whether the mapping is right.
  • In the mapping step, check that columns your company names differently, such as user or location, are matched correctly.
  • Also confirm that the duplicate check key (S/N) works for your data.

4. 🏷️ Days 3–4: Print QR labels and stick them on

Select assets in the list and click Print QR code. You don't need a dedicated label printer; A4 label sheets and an ordinary printer work.

Print QR code. Pick up to five fields to print, check the real-time preview, then print.
  • Put up to five fields on each label, such as name, S/N, asset code, type and model, in any order.
  • Besides the default size (24 labels per A4 sheet), there is a custom layout in millimeters, and you can include or leave out your company logo.
  • If your assets already carry asset-number labels, you can keep using your existing barcodes and asset numbers.

The thing to check during the trial is where labels go. A laptop lid, the back of a monitor and the underside of a chair all differ, so the only way to know the size fits is to try it. ✂️

5. 🔍 Days 5–7: Run a pilot audit in one area

Once labels are on, audit your pilot area. There's no app to install: scan the QR from the phone's web browser to confirm each asset and record its status.

Write down these three numbers. Two weeks later, they'll be your strongest evidence for the decision. 📊

  1. Time taken: how many minutes it took to check 100 assets
  2. Missing from the register: assets you found on site that weren't in the spreadsheet
  3. Missing on site: assets in the spreadsheet you couldn't find

Note that scheduled employee self-audits, AI photo checks and QR scan location tracking are Enterprise plan features and are not part of the free trial. If you need them, ask us through an Enterprise inquiry.

6. 👥 Days 8–10: Put real workflows through it

With your register and labels ready, run the everyday tasks you'd do after rollout through SELLEASE once each.

  • Issuing and returns: hand equipment to a new hire and take it back from a leaver with e-signed receipt and return forms.
  • Lending: borrow and return shared equipment by QR with one or two employees.
  • Requests: take a repair or purchase request as a service desk ticket and assign it.
  • Views by role: on the same ledger, IT sees device specs, general affairs sees location and user, and finance sees cost and depreciation. Try building list filters that show each team only the columns it needs.

7. ✅ Days 11–14: Review the dashboard and decide

In the final days, look at two weeks of data on the dashboard. Open requests, receipt confirmations, rentals and assets by type all sit on one screen.

Then go through these five checks. Four or more yeses means it's worth moving forward.

  • ☐ We moved our existing spreadsheet without major rework
  • ☐ One person could print and attach labels and run the pilot audit
  • ☐ We measured the gap between the register and what's on site
  • ☐ IT, general affairs and finance each built the view they need
  • ☐ Issuing, returns and requests worked fine in SELLEASE

When the trial ends, you can switch to a paid subscription and keep going. A company-wide rollout, from spreadsheet import to the first audit, usually takes about a month. See SELLEASE Tangible Asset Management for all physical asset features and IT Asset Management for agent-based IT tracking. 🗂️
